THE MERCHANT TEAM WORKFLOW
Four steps.
One clear handoff.
The point is not to import a file faster at any cost. It is to give the person preparing an order enough context to make the right call before anything is written to Shopify.
Quick Order overview ↗STEP 01 / 04
Bring in the list you already have
Paste, upload, or search — one workspace for every input.
Kaupvik works with the sheet the customer actually sent. No template switch is required first, and the original SKU text of every line is preserved so a person can always see what was asked for.
Shopify owns the product catalog and which variants exist at all. Kaupvik reads products; it never edits them.

STEP 02 / 04
Confirm how the file should be read
Source columns are shown before anything is interpreted.
Column detection is presented as a decision, not a guess. SKU and quantity are required; price and purchase-order number are optional. A price column on a customer file is treated as a comparison value only.
Shopify owns the meaning of a variant, its SKU and its current price. The file's price never overrides it.

STEP 03 / 04
Review every line, fix only what needs fixing
Matched lines stay put; exceptions ask for one clear decision.
Each line ends up as ready, needing a choice, needing an edit, or skipped. Unknown SKUs keep their original text and offer candidates. Duplicate rows, quantity rules, availability and price differences are surfaced in the row that caused them — never silently corrected.
Shopify owns eligibility, quantity rules and the B2B price for the selected company location. Kaupvik displays what Shopify returns.

STEP 04 / 04
Create the Shopify object, then hand it over
One explicit action, one verifiable result.
The team path creates a Shopify draft order against the confirmed version of the list, with duplicate-safe retries so a network retry cannot produce two drafts. The result screen states what was created, what was skipped and where to continue in Shopify.
Shopify owns the draft order, taxes, shipping, payment terms, invoicing and the order itself. Kaupvik does not send invoices and does not collect payment.

The result
A draft to continue.
A record of what changed.
Staff continue shipping, tax, payment terms and completion in Shopify. The buyer self-serve cart path is still in validation and is not presented as an available output.
